Assessment Letters

The following is the written policy on the preparation of Assessment Letters.

Assessment letters will not be processed until the following is received in our office. Faxed requests will not be accepted.

*** Keys for mailboxes, water closets, coupon boxes, etc must be left for the new homeowner. ***

  1. The request for a closing/refinancing paid assessment letter must be written.  This request must include the Association name, the seller's address, the full names of the seller, the buyer's full name (if applicable)  the closing date, and a FAX # to return the letter.                                                                             

  2. Assessment letters will be prepared in the order that the money is received.

  3. The fees for the standard closing letter is $80, except for Oakhurst which is $50.  Checks are made payable to Baum Property Services.  This fee applies to all refinance and closing letters for ALL Associations.

  4. White Eagle Requests MUST include the lot number. White Eagle Sellers must contact Alarm Detection Service at (630) 844-6300 to schedule a security system check.  The fee for this is $50 and the check is to be made payable to White Eagle Club.  There is still a fee to Baum Property Services for $80.00. Both checks MUST be paid with request.  Stableford owners must request two letters.  

  5. Renaux Manor Townhomes Properties, in addition to the $80.00 paid to Baum Property Services to process the paid assessment letter, the Buyer must pay a $500.00 Capital Contribution fee.  This is paid at closing and made payable to Renaux Manor Townhomes.

  6. The request for the assessment letter and applicable fees must be received in our office 48 hours prior to closing. Requests must be made to Baum Property Services in writing with the above information with a minimum of one week advance notice.  Requests received less than 48 hours prior to closing will pay double all fees, $160.00, $100.00 for Oakhurst.

  7. The cost per written page of forms (Condo Questionnaires) required by Seller or Purchaser to be filled out by Management is  -  $90 for the first page and $50 for each additional page.

  8. For each Assessment Letter please include a copy of the first page and the signature page of the Sales Contract.
